DESCRIPTION OF DUTIES / ESSENTIAL FUNCTIONS
The City of Houston's Center for Public Leadership & Learning (CPLL) is committed to developing public servants through innovative learning, leadership development, and organizational excellence initiatives. CPLL serves employees across the City by providing learning programs, leadership development opportunities, and workforce solutions that support organizational success and exceptional public service.

CPLL is seeking a customer-focused Administrative Assistant to serve as the first point of contact for employees, visitors, and community partners entering our learning center. This position plays a key role in creating a welcoming and professional environment while supporting the daily operations of the Center and the Office of the Chief Learning Officer (CLO). The ideal candidate is highly organized, service-oriented, and proactive, with the ability to manage multiple priorities while delivering exceptional customer service.

Key Responsibilities
  • Serve as the primary reception and customer service contact for visitors, employees, and external partners.
  • Welcome guests, provide information and directions, and ensure a positive experience for all visitors to CPLL.
  • Answer and route incoming phone calls, emails, and inquiries to appropriate staff.
  • Coordinate visitor appointments, room reservations, and meeting logistics as assigned.
  • Maintain professional and welcoming reception, classroom, and common areas.
  • Monitor facility needs, submit maintenance requests, track work order status, and support classroom readiness standards.
  • Maintain office and breakroom supply inventories and coordinate replenishment activities.
  • Provide administrative and operational support to the Office of the Chief Learning Officer (CLO).
  • Assist with purchasing, vendor coordination, invoice processing, and procurement-related activities.
  • Support departmental communications, special projects, events, and operational initiatives.
  • Perform other duties and special projects as assigned.
WORKING CONDITIONS
There are no major sources of discomfort, i.e., essentially normal office environment with acceptable lighting, temperature and air conditions.

MINIMUM REQUIREMENTS

EDUCATION REQUIREMENTS
Requires a Bachelor’s degree in Business Administration, Liberal Arts, or a related field.

EXPERIENCE REQUIREMENTS
One year of administrative experience is required. Professional administrative experience may be substituted for the above education requirement on a year-for-year basis.

PREFERENCES

Preference will be given to applicants with:
  • Excellent organizational skills.
  • Customer service focused.
  • Attention to detail and a commitment to accuracy.
  • Ability to coordinate multiple tasks.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and willingness to learn new software tools.
  • Able to communicate with all levels of management and assist with persons from diverse backgrounds.
