    Definition

    The City of Newport Beach is seeking an Administrative Assistant to the Assistant City Manager. Currently, there is one full-time (non-exempt) vacancy. The ideal candidate will possess exceptional organizational abilities, strong communication and customer service skills, and a keen attention to detail.

    Position Highlights:
    • Provides executive-level support to the Assistant City Manager
    • Works closely with the Executive Assistant to the City Manager in coordinating the administrative operations of the department
    • Maintains calendars, makes appointments, schedules meetings, and coordinates departmental activities
    • Interacts with elected and appointed officials, department directors, and provides administrative support to City committees
    • Coordinates department personnel-related matters including payroll
    • Works collaboratively with other departments

    Schedule:
    • This position may work a 5/40 or 9/80 schedule

    Selection Components:
    • Application Evaluation: Applications will be accepted until February 12, 2026 at 5:00 p.m. or until 150 applications are received - whichever occurs first.     • Computer Skills Testing: Those candidates deemed most qualified as reflected in their online application will be in vited to computer skills testing for Microsoft Word and Excel.
    • Interview: Passing candidates will be invited to a interview tentatively scheduled for March 19, 2026. Successful candidates will be placed on an eligibility list that may be used to fill future vacancies as they occur.

    Retirement:

    The City offers an excellent benefit package and membership in the California Public Employees' Retirement System (CalPERS). The retirement formula is based on appointment date and membership status with CalPERS and the employee is required to contribute 8% (or half the normal cost, whichever is higher) of pay towards the retirement benefit.

    Experience & Education and License/Certificate

    A combination of experience and education that would likely provide the required knowledge and abilities may be qualifying. A typical way to obtain the knowledge and abilities would be:

    Experience: Four or more years of increasingly responsible administrative, secretarial, and clerical experience. Government experience and experience working closely with senior management, boards, and commissions desirable.

    Education: Equivalent to graduation from high school. Additional coursework or training i n office administration, business administration or a related field desirable.

    License/Certificate : Due to the performance of some field duties which require the operation of a personal or City vehicle, a valid and appropriate California driver's license and an acceptable driving record may be required.

The Council consists of the Mayor and six other members and is responsible for policy-making, passing local ordinances, adopting the budget, appointing committees and hiring the City Manager, City Attorney, and City Clerk. The City Manager is responsible for carrying out the policies and ordinances of the City Council, for overseeing the day-to-day operations of the City, and for appointing heads of departments.
