ABOUT THE POSITIONThe Clark County Special Public Defender's Office is seeking qualified candidates to apply for the Supervising Legal Secretary position. This position will lead and support a team of legal secretarial and office support staff. This role is responsible for overseeing day-to-day workflow, ensuring high-quality legal and administrative support to attorneys handling complex and sensitive cases, and maintaining efficient office operations with a high level of professionalism, confidentiality, and discretion.
This examination will establish an Open Competitive Eligibility list to fill current and/or future vacancies that may occur within the next six (6) months or may be extended as needed by Human Resources.

MINIMUM REQUIREMENTSEducation and Experience: Equivalent to graduation from high school AND five (5) years of full-time general office experience three (3) years of full-time which include experience as a legal secretary. College level training in an appropriate field is desirable. Prior lead or supervisory experience is required. Professional level experience and/or education that has provided the skills and knowledge necessary to perform all job functions at this level may be substituted on a year-for-year basis. All qualifying education and each experience must be clearly documented in the “Education” and “Work Experience” sections of the application.

EXAMPLES OF DUTIES- Plans, organizes, assigns, supervises, reviews and evaluates the work of assigned staff.
- Recommends selection of staff; trains staff in work procedures; administers discipline as required.
- Assists in compiling and monitoring budget figures; may provide input into the goal setting process.
- Performs a variety of office management duties such as coordinating records management activities, providing for equipment and supply acquisition and maintenance and processing forms and records such as invoices and time records.
- Draft pleadings, subpoenas, briefs, contracts, ordinances and other legal documents and correspondence, memoranda and reports from stenographic notes, brief instructions, dictated tapes or printed materials.
- Calendars and schedules court dates, meetings and appointments for attorneys; files or arranges for the filing of legal briefs and other necessary paperwork with the court.
- Receives and screens visitors and telephone calls, providing information regarding the particular area of assignment, which may require the use of judgment and interpretation of policies and procedures or taking messages or referring the caller to the proper attorney.
- Processes a variety of legal agreements, contracts, etc., following attorney's instructions.
- Researches and compiles a variety of informational materials.
- Types drafts and a wide variety of finished documents, including both general and legal-related correspondence and documents; uses a computer for word processing and to input or retrieve data and prepare reports.
- Initiates specified correspondence independently for signature by appropriate staff; reviews finished materials for completeness, accuracy, format, compliance with policies and procedures, and appropriate English language.
- Organizes and maintains chronological and other files.
- Relieves attorneys of certain administrative matters by following up on projects, transmitting information, keeping informed of pertinent activities, and scheduling and arranging for meetings.
- Organizes own work, sets priorities and meets critical deadlines.
- Contributes to the efficiency and effectiveness of the unit's service to its customers by offering suggestions and directing or participating as an active member of a work team.
- Provides a variety of general secretarial and office administrative assistance.
- May drive a personal or County motor vehicle or be able to arrange for appropriate transportation in order to attend off-site meetings.
PHYSICAL DEMANDSMobility to work in a typical office setting and use standard office equipment, strength to lift files weighing up to 25 pounds, vision to read printed materials and a computer screen, and hearing and speech to communicate in person or over the telephone.
