Summary
Position Overview
Under minimal supervision, supports Municipal Courts Division management in day-to-day operations. Serves as team lead for the Division. Provides scheduling and information support for assigned court or judge (Criminal, Traffic, or Civil) including scheduling eventson the judge's calendar, maintaining a master schedule of events, and processing court related documents. This position reports to the Assistant Chief Deputy or the Chief Deputy of the Municipal Courts Division.
Summary Of Job Duties
Specific work will vary based on the assignment but will include the following types of work:
- Serve as team lead and provide general work direction for all employees; assist in overseeing Municipal Courts Division operations.
- Serve as team lead for court sessions; attend court sessions to respond to judicial inquiries or provide information; process cases as they are heard; schedule additional cases as needed; enter data into the computer system to update case status; print necessary forms for processing; journalize information.
- Provide training in unit practices, procedures, and standards for new employees; review work of Deputy Clerks and Assignment Clerks for accuracy; reviews errors with Deputy Clerks and Assignment Clerks to provide ongoing training and feedback; use knowledge, skills and abilities to help other staff members be successful.
- Manage case flow for the court while remaining in compliance with applicable rules, policies and procedures: process cases according to status; coordinate work for all involved parties; process case-related paperwork for subpoenas, notices, and the like; journalize and file case documents; obtain forensic evaluations; prepare and distribute judge's bench dockets; prepare monthly Supreme Court report, when necessary.
- Prepare case-related judicial entries and correspondence for judge signature or approval; make appropriate revisions; journalize and file entries and correspondence; distribute documents; process warrants.
- Process transcripts: copy all documents in the case file; prepare detailed, chronological transcripts of case activities; calculate fees for transcripts; make certified copies; collect fees.
- Process case transfers and appeals: receive and time stamp paperwork; collect and record appropriate fees; submit paperwork to judge for signature; prepare transcripts and other case documents; issue summonses; ensure case files contain appropriate documentation.
- Manage and coordinate juries for the court or judge: process jury demand paperwork; schedule jury trials; prepare paperwork and instructions for jury trials; complete paperwork on completion of jury trials; communicate juror payment information appropriately.
- Ensure that prisoners are available for court sessions by processing process prisoner transports; prepare transport orders; communicate orders with appropriate agencies; verify transport list prior to court sessions.
- Respond to complex issues; serve as a point-person for resolving escalated customer inquiries.
- Provide management with constructive feedback regarding staff performance.
- Provide assistance to colleagues in the department, when necessary, due to scheduling, volume, or staffing requirements; serve as the Information Technology liaison for the department.
- Other duties as assigned.
Minimum Qualifications And Requirements
High school diploma or equivalent -AND- Demonstrated proficiency in all of the stated knowledge, skills and abilities (Usually obtained through a minimum of three (3) years of direct experience in the Municipal Courts Division or a similar court environment)

- Knowledge of and ability to perform in all areas of the Municipal Courts Division
- Ability to communicate effectively and work with constituents such as Judges, Judicial Staff, Law Enforcement Agencies, Prosecutors, Attorneys and the like
- Skilled in building positive relationships and working collaboratively with management and coworkers in order to lead the team
- In-depth knowledge of laws, court processes and court proceedings
- Knowledgeable about the relationships among the various functions of the department in order to recommend process improvements
- Sufficient keyboarding skills to quickly and accurately enter, access, update, and/or manipulate data
- Ability to interpret the Ohio Revised Code and Local Rules as they relate to processing cases
- Ability to understand and defend decisions while incurring possible legal risks and responsibilities
- Ability to handle multiple demands and deadlines along with the ability to delegate
- Ability to become proficient in job tasks through on-the-job training within a six {6)-month period
