The Service Dispatcher is responsible for scheduling and coordinating service technicians to ensure timely, efficient response to customer needs. This role acts as the central communication point between customers, technicians, vendors, and internal teams. The dispatcher manages work orders, and ensures all required information and documentation is complete to support accurate dispatching and billing processes.
Hourly wage range: $25 - $28 per hour
Essential Functions:
- Create and maintain accurate work orders in the ERP system, ensuring all required customer details, equipment information, issues, and documentation are complete and correct to support dispatching, and billing.
- Schedule and assign service calls to technicians relaying job notes, customer updates, and required instructions to technicians to ensure successful service completion.
- Serve as the primary point of contact for appointment inquiries and job-status updates.
- Provide timely updates to customers regarding delays, changes, or additional service needs.
- Maintain a professional and customer-focused approach in all interactions.
- Escalate issues that may result in delays or impact service performance.
- Open sublet vendor work orders and purchase orders as required for the sublet process.
- Accepting customer service requests in various customer portals.
- Monitor work-in-progress (WIP) ensuring alignment with department goals.
- Perform additional duties as assigned or as business needs dictate.
- Strong communication skills for interacting with customers, technicians, and internal teams.
- Ability to handle customer complaints professionally.
- Ability to respond quickly to incoming calls and dispatch service efficiently.
- Ability to maintain composure and effectiveness in high-pressure environments while managing multiple priorities and deadlines.
- Strong follow-through with keen eye to detail.
- 3-5 years of relevant experience, preferably in service dispatch or related administrative roles.
- Basic proficiency in Microsoft Office, Outlook and Windows.
- Prior experience in Material Handling Industry a plus but not mandatory.
- 1-3 years of customer service experience with heavy phone interactions.
