Position Overview

The Building Materials Delivery Dispatcher is the operational hub connecting our drivers, sales team, warehouse, and customers. You will coordinate every aspect of our delivery operation - from scheduling routes and managing driver logistics to handling customer communication and resolving issues in real time. This role requires exceptional organizational skills, strong people instincts, and the ability to stay calm and decisive when multiple priorities are competing for your attention.

This is a full-time position averaging 40 hours per week in the off-season and up to 45 hours during peak season. If you thrive in a fast-moving environment and take pride in keeping complex operations running smoothly, we want to hear from you.

Essential Duties

Administrative & Personnel Management
  • Listen and respond to driver feedback regarding equipment needs, protocol changes, and job-site requirements
  • Communicate Standard Operating Procedures, policy changes, safety updates, and management feedback to the driver team
  • Delegate tasks including product staging and movement, safety checks, vehicle cleaning, and stocking of delivery supplies
  • Facilitate training and onboarding of new delivery team members
  • Manage driver schedules, vacations, call-offs, and substitute coverage
Customer Service & Communication
  • Bridge the communication gap between sales and customers to ensure deliveries are completed accurately - with the correct address, supplies, tools, and special precautions
  • Contact customers to coordinate delivery timing, maintaining a firm yet flexible and professional approach
  • Create and distribute a "Delivery Expectations" document to ensure clear, consistent communication from point of sale through delivery
  • Handle problems that arise on delivery, including property damage claims and defective product inquiries
  • Manage customer service calls and escalate urgent special orders as needed
Logistics & Delivery Operations
  • Plan and schedule deliveries, accounting for mileage, install time, and route efficiency
  • Identify and proactively mitigate potential delivery pitfalls before they become problems
  • Coordinate the schedule of non-department use of box trucks
  • Manage delivery vehicle maintenance, including tires, oil changes, and repairs
  • Interpret operational data to forecast staffing needs and fleet requirements
  • Ensure all delivery vehicles are equipped with the appropriate and specific tools for each job
  • Provide feedback to the sales team regarding address errors, incorrect parts or quantities, and backorder issues
  • Organize data on appliances, mileage, stops, damages, and SKUs to drive future efficiency improvements
  • Coordinate closely with the Warehouse Manager and product pullers to ensure correct product is staged and ready for delivery
  • Coordinate items pulled for transfers and oversee loading of the transfer truck
