Position Highlights

The Seventh Judicial District is hiring a Court Operations Associate to join our team at our Gilliam County Circuit Court (Condon, Oregon) and Wheeler County Circuit Court (Fossil, Oregon) locations.

In this role…

You will perform court case workflow tasks, which include examining paperwork for accuracy and completeness, receiving pleadings and documents from parties and attorneys, and entering case data into OJD's electronic case management system. You will share information about court calendars and the status of cases with judges and court staff. You will process incoming mail, file documents and folders, and make copies. You will also help the public at the customer service counter and on the phone by answering questions, supplying forms, processing payments, and crediting accounts.

Additionally, you will help a judge by performing courtroom clerk duties. When court is in session, you will record and monitor court proceedings, perform real-time data entry, swear in witnesses, mark and maintain exhibits, and keep trial records. You will also attend to juries as the bailiff and help with jury support duties in and out of the courtroom as needed.

Part of your time will be spent helping other clerks within the judicial district as needed.

At least three (3) or more years of responsible experience in a moderately complex office or business setting involving the processing of financial, administrative, or legal documents

OR

Any combination of education and experience equivalent to three (3) years of experience that typically supports the knowledge, skills, and abilities for the position.

Working Conditions

  • This is a full-time position, and the work schedule is 8:00 a.m. to 5:00 p.m. Monday through Friday. This position is eligible for overtime compensation for hours worked in excess of 40 per workweek.
  • Occasional after-hours or overtime work may be required.
  • This position will work at the Wheeler County Courthouse in the morning and the Gilliam County Courthouse in the afternoon each day. Travel is done on work time, and a work vehicle is provided.
  • The position works in an office of one. While there is in-person contact with the public, county staff, and court staff, this position mostly works in a solo environment, with support and team connections navigated by remote means (telephone, email, chat, video, etc.).
  • Work is performed in an older building that has inconsistent heating and cooling.
  • Frequent phone and in-person contact with people from diverse backgrounds.
  • Frequent phone and in-person contact with people who may be facing challenging life circumstance, highly stressful situations, or trauma, including people who may be angry, hostile, or otherwise difficult.
  • Regular use of the following equipment: electronic recording equipment, telephone, OJD-assigned computer with multiple monitors, copy machine, fax machine, and scanner.
