Office/Dispatch Administrator
Location: Newark, NJ

We're looking for an organized and adaptable Office/Dispatch Administrator to join our team. This key role blends office administrative responsibilities with real-time dispatch coordination, ensuring smooth day-to-day operations in a fast-paced, 24/7 environment. Key Responsibilities
Dispatch Duties
- Coordinate and manage daily delivery routes for drivers
- Maintain active communication with drivers throughout their shifts
- Adjust routes quickly in response to traffic, weather, or customer changes
- Collaborate with management to meet evolving customer needs
- Respond to last-minute schedule changes with professionalism and flexibility
- Build and maintain strong relationships with drivers and customers
Office Administrative Duties
- Perform billing tasks, prepare and issue invoices, memos, and monthly statements
- Respond to vendor inquiries and resolve payment issues in a timely manner
- Reconcile vendor statements and resolve discrepancies
- Keep track of transactions and investigate differences between shipping logs and invoice records
- Maintain and update customer files, including accurate billing and contact information
- Provide exceptional customer service via phone, email, and in-person
- Assist with general office operations including filing, data entry, and maintaining supplies
- Provide administrative support to store management and staff as needed
- Handle incoming calls, direct inquiries, and relay information to appropriate team members
What You Bring
- High School Diploma or GED
- Valid driver's license
- Prior experience in dispatching, administrative support, or billing preferred
- Ability to prioritize and multitask in a fast-paced environment
- Proficiency with Microsoft Office and basic accounting software
- Strong communication and problem-solving skills
- Ability to work independently and as part of a collaborative team
- Availability to support a 24/7 operation (schedule flexibility required)
