Executive Administrator Senior Leadership Support Scottsdale, AZ Pay Estimated: $35.00 - $40.00/Hour U.S. Citizenship is required by Federal Law We are seeking an Executive Administrator with an active TS/SCI clearance to provide high-level administrative support to Directors, Senior Managers, and large organizational teams in a secure defense environment. This role requires expertise in executive calendar management, travel coordination, meeting planning, expense reporting, Microsoft Office, and confidential administrative operations supporting mission-critical programs and senior leadership. Responsibilities: * Provide comprehensive administrative support to Directors, Senior Managers, and organizations consisting of 35 or more employees. * Manage complex executive calendars, schedules, and meeting coordination to ensure efficient use of leadership time. * Coordinate local, domestic, and international travel arrangements, including itineraries, reservations, travel documentation, and security-related travel requirements. * Prepare and process expense reports, time reporting, and associated administrative documentation. * Organize and coordinate meetings, conferences, briefings, and leadership events. * Maintain accurate records, correspondence, reports, and administrative documentation. * Serve as a liaison between leadership, internal teams, and external stakeholders while maintaining professionalism and discretion. * Support leadership priorities by proactively managing administrative details and resolving scheduling conflicts. * Prepare, edit, proofread, and distribute written communications, presentations, reports, and briefing materials. * Ensure strict adherence to confidentiality, security requirements, company policies, and administrative procedures. * Utilize Microsoft Office applications and business systems to support daily operations and reporting requirements. * Identify opportunities to improve administrative processes, efficiency, and workflow effectiveness, including leveraging AI-enabled tools where appropriate. * Support special projects and additional administrative responsibilities as assigned. Qualifications: * U.S. Citizenship is required by Federal Law * Active Department of Defense TS/SCI security clearance required at time of hire. * High School Diploma or equivalent required. * Related vocational training plus a minimum of 5 years of administrative or business experience; OR a minimum of 8 years of administrative or business experience. * Experience providing executive-level administrative support to Directors, Senior Managers, or equivalent leadership positions. * Experience managing complex calendars, executive schedules, travel arrangements, meetings, and business operations support. * Strong working knowledge of Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint. * Experience coordinating local, domestic, and international travel while adhering to applicable security requirements. * Strong organizational, time management, prioritization, and multitasking skills. * Ability to handle highly sensitive and confidential information with professionalism and discretion. * Excellent written and verbal communication skills, including document preparation, editing, proofreading, and correspondence management. Preferred Qualifications: * Experience supporting executives within defense, aerospace, government, intelligence, or classified environments. * Experience supporting organizations with large employee populations and complex operational requirements. * Strong writing, editing, grammar, and business communication skills. * Experience improving administrative processes and implementing operational efficiencies. * Familiarity with AI-enabled productivity tools and process improvement initiatives. * Proven ability to build collaborative relationships and foster trust across leadership teams and stakeholders.
