    THE PORT OF LONG BEACH IS SEEKING

    AN ADMINISTRATIVE INTERN IN THE FINANCE DIVISION.

    (This is an at-will position)

    Hourly Wage: $25.088

    The Team:

    The Port of Long Beach's Finance team is a dynamic group dedicated to ensuring the financial health and sustainability of one of the busiest ports in the nation. Committed to transparency and efficiency, this team manages a diverse portfolio that includes accounting, budgeting, financial planning and analysis, grants management, and risk management. With a focus on innovative financial solutions, they support the Port's mission by optimizing resources, driving investment opportunities, and enhancing overall operational effectiveness. Collaborating closely with other departments, the Finance team plays a crucial role in shaping the future of the Port while fostering economic growth in the region.

    This is an unclassified (Non-Civil Service) position. Non-career positions typically average 20 hours per week, up to 29 hours a week , for a total of 1600 hours in a year for a maximum of two (2) years . Flexibility is offered within typical business hours. The assignment may end at any time, but under no circumstances will it extend beyond two years.

    EXAMPLES OF DUTIES

    The Role:

    Under direct supervision and reporting directly to the Manager of Harbor Grants, the Administrative Intern will assist with grant management tasks and projects. The intern will assist with gathering electronic grant documentation, organizing and preparing files using Adobe Professional and organizing and storing files in the electronic document management system, as well as other administrative and professional grant management tasks.

    How you get to contribute:

    • Learn best practice grant management procedures.
    • Provide administrative support to the Manager of Harbor Grants.
    • Review and proofread memos, letters, reports and agreements.
    • Gather records, documents, agreements, invoices from a variety of sources and systems.
    • Organize and compile files in Adobe Professional.
    • Organize and store files in the electronic document management system.
    • Correspond with internal and external staff via email, MS-Teams, and phone regarding grants and projects.
    • Maintain sensitive and confidential information with professionalism and discretion.
    • Maintain a positive, professional tone in all communication with internal teams, city staff, and external partners or vendors.
    • Perform other duties as required.


    REQUIREMENTS TO FILE

    Minimum Qualifications:

    • Must be at least 18 years of age.
    • Must be currently enrolled in a Bachelor’s degree program at a college or university with status as a junior or senior OR currently enrolled in a Master’s degree program. Recent graduates (within the last 12 months at the time of application) are also encouraged to apply.
    • A major in Business Administration, Public Administration, Business Law, Pre-Law, Auditing, Purchasing, or a closely related field is preferred.

    • Ability to work independently with attention to detail.
    • Ability to follow written and oral instructions accurately.
    • Ability to prepare accurate, complete records that meet Port standards.
    • Good oral and written communication skills.
    • Ability to use to use Adobe Professional software for document compilation, editing and organization.
    • Experience with Microsoft Office software, such as Outlook, Word, Excel, and Teams is desirable.

    This is an unclassified, "at-will" position. The appointed candidate will serve at the discretion of the Port of Long Beach and can be terminated at any time.
