Provides instructional support to instructors/faculty including preparing rosters and grading sheets, ordering materials and supplies, stocking classrooms, and ensuring that validating facilities are available; prepares and issues certificates of completion; submits training certification to certifying agency. Acts as a liaison with other departments and with state and federal programs on behalf of the department/program or a student; assists the director or program lead with scheduling onsite certification and vocational training programs with businesses and public safety agencies. Coordinates administrative processes for department hiring for staff and faculty positions including submitting requisitions and preparing hiring paperwork; creates, processes and tracks Instructional Service Agreements; coordinates full- and part-time staff and faculty payroll administrative processes including auditing time logs, calculating sick leave and ensuring conformance to work hour restrictions; computes and categorizes pay according to departmental/program billing accounts; ensures accurate usage of funding codes and calculates departmental/program billing. Organizes, maintains and updates confidential, specialized and technical files, documents and records including department personnel records; creates and maintains electronic and physical filing systems; performs complex and confidential records management; when assigned to the Police or Fire Academy, assists with public agency investigator requests for information following strict policies and procedures. Creates and maintains spreadsheets and databases; reviews, submits and tracks requests for payments and purchase orders in accordance with District policies and procedures; reviews travel and conference expense forms; calculates budget usage and fund percentages; prepares budget variance reports and spending forecasts for management review; tracks multiple funding sources; may assist in grant administration. Oversees and participates in program tracking and data input and ensures District, state and federal guidelines are met; develops, maintains and audits spreadsheets, databases and reports; utilizes third-party portals and databases to research and track student information; coordinates with other college departments regarding financial aid, tracking student work hours, payments and reimbursements. Coordinates logistics of the Police or Fire Academy graduations and symposiums, including liaison with event participants, vendors and sponsors; works with other campus departments and facilities; orders food, materials and supplies; troubleshoots onsite, proactively resolving issues. Position Summary (Classified as: Administrative Analyst/Specialist, Exempt I) Full-time position available on or after November 14, 2024 for Learning Commons. Under general direction, the Administrative Analyst will provide support within the Learning Commons, the campus resource for learning support serving both undergraduate and graduate students. The department offers peer-led learning support through Supplemental Instruction, Tutoring, and Writing Centers, along with resources, strategies, and workshops to help students reach their academic goals. This position encompasses a range of administrative and technical responsibilities, focusing on the learning support management system (StanTutor), the Common Human Resource System (CHRS), data dashboards, budget systems and analysis, and payroll and department operations. This position is integral to our institution's commitment to academic excellence and student success. Incumbents in positions at this level perform the full range of work related to program and policy research, analysis, development, evaluation, and/or operational and fiscal analysis related to an administrative specialty. Work requires applying a theoretical knowledge base to develop recommendations and conclusions. Job Duties Duties include but are not limited to: Administer the learning support management platform, StanTutor. Develop and maintain administrative systems through university databases, including PeopleSoft, Common Human Resource System (CHRS), Data Warehouse, dashboards, and other administrative systems. Train students, staff, and faculty on how to use StanTutor. Develop and maintain a training library with accessible resources and video tutorials. Advise management on policies and procedures related to finance, budgets, personnel, and related operational functions to meet programmatic goals. Bachelor's degree in Business Administration, Public Administration, Education or other related degrees. Prior experience with coordinating processes and procedures or related field highly preferred. Qualifications This position requires: -Bachelor’s degree from an accredited four-year college or university or equivalent combination of education and related experience is required. -Minimum five years of experience in administrative function, with a minimum of three years’ experience directly supporting senior administrator/executive position or a student affairs initiative. -Demonstrated experience project management experience. -Knowledge of strategic planning. -Advanced proficiency in Microsoft Office; including Outlook, Word, PowerPoint and Excel. -Working knowledge of higher education challenges, national trends in student affairs, and CSU. -Experience in using cloud-based programs including SharePoint and OneDrive. -Professional maturity and the ability to maintain confidentiality when required. -Ability to function effectively in a complex and fast-paced work environment. -Ability to multitask, prioritize and balance multiple projects to meet various delivery deadlines and strong ability to work under pressure. -Tolerance for a fluid and dynamic work environment. -Must be able to interpret and apply policies and procedures independently and use judgment and discretion to act when precedence may not exist. -Able to responsibly secure data, reports and personnel information. -Ability to work independently and as part of a team, and be able to take initiative in the performance of a variety of tasks. -Ability to track progress and coordinate highly detailed projects in a well-organized and efficient manner. -Ability to draft and proof written communications to ensure accuracy and the highest degree of professionalism. -Punctuality, reliability, and regular attendance is essential for completing various performance tasks.
