MSPD is seeking a detail-oriented and dependable Operations Assistant to support the daily operations of our Columbia office, with an strong emphasis in financial processes. Administrative Support: - Serve as front desk receptionist: greet visitors, answer phones, handle mailroom functions, and maintain a professional office environment
- Monitor and respond to email inboxes
- Assist with processing applications for public defender services and determining client eligibility
- Prepare and ship USPS and UPS mail; maintain addresses in the UPS system
- Maintain organized and well-stocked mailroom and supply areas
- Assist with scanning, redacting, and releasing client files
- Transfer and track scheduled collect calls
- Support updates to MSPD internal documentation systems and databases
- Provide administrative support to Human Resources, Financial, and IT departments
- Assist with basic office facility duties, such as recycling and maintaining common areas
Financial Support: - Accept and process client fee payments, prepare bank deposits, and maintain lien & recoupment records
- Print and mail debt offset notices; monitor L&R database for missing or incorrect information
- Assist with reviewing and processing retainer fee invoices
- Perform other financial duties as assigned
Minimum Qualifications: - Three years of experience in office or customer service-oriented work
- Post-secondary education may be substituted for required experience
Preferred Skills: - Strong attention to detail and organizational skills
- Excellent communication skills
- High accuracy and speed in data entry
- Proficiency with Microsoft Office and database systems
- Commitment to professionalism and confidentiality
- Ability to work collaboratively as part of a team
- Knowledge of basic accounting/bookkeeping practices & processes
