    The selected candidate will serve as the Administrative Assistant to the Deputy Division Director of Human Resources for the Division of Adult Institutions. In addition, this position serves as the office manager directing a variety of support functions for the human resources leadership team.

    This position is located in a fast-paced office; therefore, applicants will need to be detail-oriented, organized and have the ability to multi-task. The selected candidate will need to possess professional oral and written communication skills and the ability to communicate in a friendly, welcoming and professional manner in person and by phone.

    The selected candidate should be knowledgeable in the use of Microsoft Office Outlook, Word, Excel, Smart Sheets and the Department’s Human Resource Management System as well as Financial System. Existing fluency in each of these systems is preferred.

    The selected candidate will need to compose and draft correspondence related to Human Resource functions as well as respond to inquiries from state officials, staff and constituents regarding agency matters.

    The selected candidate will provide complex administrative assistance, schedule meetings, make travel arrangements and provide technical support, prepare and process out-of-state travel authorizations, expense accounts, process mail and various documents for section team members.

    The selected candidate will oversee and ensure the accurate, timely preparation of personnel, purchasing, and related documents. Monitors the unit’s operating budgets.

    The selected candidate will need to exercise independence in decision making based on agency policy and practice.

    The selected candidate must have the ability to contribute positively as part of a team, assisting with various tasks as required to help carry out the department’s mission of Improving Lives for Safer Communities.

    The selected candidate will have other related work as assigned.

    Minimum Qualifications:

    One or more years of experience as an Administrative Support Assistant (SOSA) with the Missouri Uniform Classification and Pay System; and possession of a high school diploma or proof of high school equivalency OR

    Four or more years of office or related clerical experience; and possession of a high school diploma or proof of high school equivalency.

    (Training from an accredited vocational or business school in Office Management, Secretarial Science, or a closely related field may substitute on a year-for-year basis for the required experience at a rate of 30 earned credit hours, or 480 clock hours, for one year.)

    (Earned credit hours from an accredited college or university may substitute on a year-for-year basis for the required experience at a rate of 30 earned credit hours for one year.)

    Preferred Qualifications/Skills:

    Knowledge and experience with SAMII HR and/or Financial is preferred

    All requested documents MUST be received by the closing date listed.

    Contingent upon your position, you may also be eligible to receive:

    • A $2.00 per hour shift differential if you are assigned to a shift that begins on or between 12:00pm (noon) and 5:00am and are employed at a 24/7 congregate care facility (i.e. institution, transition center, supervision center, or command center).
    • A $0.75 per hour maximum security stipend if you work full-time at a qualifying facility.
    • A $1.00 per hour restrictive housing stipend if you are assigned a regular post within a restrict housing/segregation unit at any facility.
