DescriptionUnder general supervision, the purpose of this position is to provide highly responsible and complex, confidential and specialized administrative support. Employees in this position are accountable for the accuracy of both routine and non-routine, sensitive administrative support duties. The employee performs and analyzes complex administrative problems and recommends solutions as dictated by the nature of department. The employee must exercise independent judgment and initiative in completing assignments and handling public contact situations. Reports to a division supervisor or department director.
Minimum Requirements (Must meet by the closing date of the posting unless otherwise stated)- Graduation from an accredited high school or equivalent.
- Two (2) years of responsible experience in administrative work.
- Two (2) years of experience in bookkeeping, accounting and/or financial records.
- Intermediate to expert level operation of Microsoft Office (Outlook, Word and Excel).
Essential Functions- Performs a variety of complex and specialized administrative functions, including research, report preparation, data analysis, and management of confidential information.
- Plans, coordinates, and complete administrative and operational tasks to support departmental programs, budgets, and projects.
- Manages departmental records, financial accounts, and documentation systems; ensures accuracy, compliance, and timely processing of forms, invoices, and purchase orders.
- Monitors budget balances, maintains accounting records, reconciles accounts, and prepares monthly and statistical reports to assist with budgeting, purchasing, and financial analysis.
- Administers and tracks departmental contracts, grants, and special programs, including tuition reimbursement, Special Detail invoicing, and grant reporting to the State of Florida.
- Assists with development and monitoring of the Capital Improvement Plan (CIP) and other financial planning efforts.
- Prepares resolutions, ordinances, proposals, and correspondence for departmental and Town review.
- Maintains inventory for public education and departmental supplies; assists with procurement and purchasing processes.
- Provides professional administrative support to departmental leadership, responds to public and internal inquiries, and ensures efficient daily operations.
- Performs other related duties as required to support the effective and efficient operation of the Fire Department.
