The Missouri Department of Mental Health (DMH) seeks an Administrative Assistant in the Director’s Office. This position is domiciled in Jefferson City.
The Administrative Assistant provides high-level administrative support, logistical and project assistance to the DMH Deputy Directors and other assigned staff in the Director’s Office Programs. This includes managing calendars, preparing correspondence, reports and presentations, coordinating meetings, handling sensitive information with confidentiality. The ideal candidate will exercise good judgement in a variety of situations, with strong written and verbal communication, administrative and organizational skills, and the ability to handle multiple priorities.
The base salary offered for this position is up to $68,046.00 annually, commensurate with education and experience. If the selected candidate is eligible for a pay differential, such as retention pay, the total salary may exceed what is listed in this posting.
- Provide high-level administrative support to the Director’s Office.
- Provide high-level administrative support and assistance to the Deputy Directors and other assigned staff in the Director’s Office Programs.
- Serve as logistics coordinator for department level initiatives, trainings, and events.
- Assist with initiative tracking, data management, and department dashboards, as appropriate.
- Perform clerical and administrative tasks including calendar management, proofreading, drafting letters, memos, expense reports and other documents for staff.
- Arrange travel and accommodation for staff.
- Schedule and attend meetings (as needed), note-taking and minutes, creating agendas, and coordinating all meeting logistics (food, materials, speakers, travel, etc.).
- Receive incoming communication on behalf of staff, review contents, determine importance and summarize and/or distribute contents, as appropriate.
- Provide phone coverage for the Director’s Office and staff as needed.
- Perform office tasks including record maintenance and ordering of IT equipment, supplies, and office equipment/furniture.
- Perform other related duties as assigned.
QualificationsFive or more years of professional experience as a Lead Administrative Support Assistant is required. Associate’s degree from an accredited university or college strongly preferred.
