Position Summary: Under the general supervision of the Director of the Office of the Leadership Engagement & Development (LEAD) office, the Office Coordinator is the sole office administrative support for LEAD, with additional limited support to the Office of First- and Second-Year Experiences (OFSYE) providing administrative support for professional staff, student organizations, fraternity/sorority life, and student assistants. This position oversees front office operations and management, budget and requisition tracking, personnel, payroll, time keeping, communication with vendors, supply orders, inventory maintenance, programming calendars, document and record-keeping, event management, and marketing and communication. This position will support the Toro Link event submission process for Student Organizations and ensure the appropriate campus partners are included in all student-led event planning processes.
Carries out large-scale and complex administrative duties with minimal supervision and execute independent judgment in completing assigned tasks. Administrative work, projects, and event management functions of this position require knowledge of university policies, procedures, and regulations.
Key Responsibilities: - Serves as the sole clerical staff member for the department coordinating entire administrative support functions.
- Responsible for supporting the administrative needs of the professional staff including payroll, reporting time (time keeping), ordering supplies for office operations and programming supplies, promotional items, awards for ceremonies, making travel arrangements, maintains and schedules staff and department meetings.
- Responsible for keeping the department semester and annual calendar updated with staff out of office time, programs, activities, training, and workshops.
- Responsible for all front office operations including receiving incoming correspondence, mail, phone calls, emails, and messages from students, student organizations, and student organization advisors.
- Assists students directly or makes appropriate referrals when necessary.
- Maintains all office equipment and is responsible for office inventory including technology equipment, program supplies, and student organization supplies.
Minimum Qualifications: - Normally be obtained through a high school program, technical/vocational program, or their equivalents.
- (3) years of related office work experience.
Knowledge, Skills, and Abilities: - Knowledge of campus events best practices, procedures, and policies.
- Knowledge of university Policies, Procedures, and regulations.
- Excellent written and verbal communication skills.
- Strong active listening, problem-solving, critical thinking, and analytical skills.
- Ability to complete work thoroughly, accurately, and timely in a fast-paced and dynamic environment.
- Able to identify administrative problems, research solutions, and recommend actionable steps.
Preferred Qualifications: - Experience working with student information systems
