Are you a detail-oriented professional who thrives in a dynamic environment? We’re seeking an Administrative Support Coordinator II to join our team at the College of Arts and Letters Dean’s Office. As the public face of our office, you’ll play a crucial role in ensuring smooth operations and exceptional service.

Key Responsibilities:
  • Front Office Efficiency: You’ll be the first point of contact for visitors, both in person and over the phone. Your friendly demeanor and efficient handling of inquiries will set the tone for our office.
  • Budget and Financial Management: You’ll manage budget-related tasks, including the Technology Acquisition Review Process. Your attention to detail will help us make informed financial decisions.
  • Collaboration: Working independently, you’ll coordinate with various departments within the college and collaborate with the campus community. Your ability to exercise judgment and communicate effectively will be key.
  • Event Coordination: Assist the Dean’s Assistant in organizing standing committees and routine internal events. Your organizational skills will shine as you ensure successful gatherings.

Position Information
  • Full-time, permanent/probationary, role offering comprehensive benefits.
  • Position is designated non-exempt under FLSA and is eligible for overtime compensation.
  • Standard work hours are Monday - Friday, 8:00 a.m. to 4:30 p.m., but may vary based on operational needs.
  • The individual hired into this role will work on campus at SDSU in San Diego.

Department Summary

The College of Arts and Letters has 18 academic departments, 12 interdisciplinary programs, 24 centers, and one joint doctoral program. With over 475 permanent faculty and associated lecturers, the College is the largest of the seven colleges at San Diego State University and is responsible for 36% of the instruction at the University. There are approximately 60 clerical and technical employees in the college. The Dean's Office is responsible for the implementation and continued support of the instructional, research, and development processes in the college.

Education and Experience

Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.

These qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

Key Qualifications
  • Proficient in Microsoft Office Suite.
  • Basic understanding of budget rules and processes.
  • Experience coordinating administrative support functions for a group.
  • Experience with data entry and updating database records.
  • Experience using software tools and submitting expense reports.

Compensation and Benefits

Starting salary upon appointment is not expected to exceed $4,000 per month.

Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources.

CSU Classification Salary Range: $3,865 - $6,336 per month.
