    • Position Summary
    • (Classified as: Administrative Analyst/Specialist Exempt III)

      Full-time position available on or after September 3, 2024 in Continuing and Professional Education.

      Under the general supervision of the Professional, Community, and Global Engagement Director, this position will act as the Salesforce Administrator and manage marketing operations including administration of the marketing automation system (Salesforce Account Engagement) and the CRM (Salesforce/EDA). The incumbent will also act as the administrator of our project management software, Asana, and will be the point person when all projects flow through the Marketing & Communication (Marcom) department.

    • Job Duties
    • Duties include but are not limited to:
      • Serve as technical advisor to the Executive Director of Marketing & Communications, offering expertise and solutions in the tracking and analysis of student enrollments and marketing responses.
      • Analyze and address problems and issues related to the integration of PeopleSoft to Salesforce processes and procedures.
      • Represent the department as the Subject Matter Expert and to the larger University community (our stakeholders).
      • Serve as Salesforce CRM, Salesforce Account Engagement, and Salesforce Experience Cloud program administrator.
      • Point of contact for data integration from one system to another in capturing data into Salesforce.
      • Maintain database integrity, researching and updating records as needed.
      • Merge, purge, and update records as needed in an object database.
      • Program and maintain the Salesforce ecosystem functions to ensure accurate correspondences based on marketing determined funnels.
      • Primary liaison for projects involving Salesforce with clients, IT, PeopleSoft, and other campus divisions.
      • Conceptualize and create reports based on dean, director, and userdefined data access and integration needs in Salesforce.
      • Identify, troubleshoot, and resolve data accessing and software interface problems and provide departmental leadership in software purchase and maintenance.
      • Monitor data quality, migrations, and integrations.
      • Evaluate and configure CRM system, and provide detailed end-user documentation.
      • Provide technical support to end-users, diagnosing and resolving problems.
      • Create, run quarterly database maintenance reports.
      • Create, maintain, and update forms via Experience Cloud.
      • Serve as the Salesforce liaison between PCGE, stateside graduate programs, and consultants.
      • Research and utilize analytical software as needed to present and interpret findings.
      • Maintain thorough knowledge of CSU system, University, and department policies and procedures. Ensure all CSU and University policies and procedures are followed.
      • Develop long- and short-term plans, including setting targets for milestones and adhering to deadlines.
      • Manage and perform quality control on the project(s) throughout development to maintain the expected standards.
      • Delegate tasks on the project to employees best positioned to complete them.
      • Adjust schedules and targets on the project as needs or financing for the project change.
      • Serve as the point of contact on all projects.
      • Act as the administrator of the project management tool, Asana, and act as the Subject Matter Expert.
      • Present progress reports, as well as problems and solutions, to stakeholders.
      • Evaluate and assess the result of the project.
      • Develop and present reports to the Executive Director.
      • Utilize industry best practices, techniques, and standards throughout the entire project execution.
      • Prepare a budget based on the scope of work and resource requirements.
      • Manage and track project costs to meet the budget.
      • Develop and manage a detailed project schedule and work plan.
      • Manage and monitor the progress of the project and make adjustments as needed.
      • Measure project performance to identify areas for improvement.
      • Work with the Executive Director of Marketing & Communications to formulate procedures for efficient and accurate processing of student records, enrollments, and student accounts.
      • Manage and provide ongoing training for staff and faculty on Salesforce, additional software, IT questions, and training.
      • Attend ongoing training and self-study to become an expert in software used within the department.
      • Other duties as assigned.
    • Minimum Qualifications
    • Education : A bachelor’s degree and/or equivalent training
      Experience : Minimum of five (5) years of administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.
    • Preferred Qualifications
      • Two years of experience with editing, querying, organizing, and managing data, preferably in higher education.
      • Experience in the California State University system, continuing higher education or university setting.
      • One or more years of Salesforce and Salesforce Account Engagement administration experience.
      • Proficiency in building and maintaining Salesforce custome objects; formula fields; workflows, custome views, dashboards, and reports.
      • Experience in using Salesforce Community, Experience Cloud, and automated email marketing.
      • Proficiency with Microsoft Office Suite: Word, Excel, Outlook, Teams.
      • Familiarity with project management software tools, methodologies, and best practices.
      • Experience in developing platforms for internal processes.
    • Knowledge, Skills, Abilities
      • General knowledge and skills in the applicable administrative and/or program field with a foundational knowledge of public administration principles, practices, and methods.
      • Knowledge of and ability to apply fundamental concepts.
      • Demonstrated ability to establish and maintain effective working relationships within and outside the work group and serve as a liaison for the organizational unit.
      • Thorough knowledge of policies, procedures, and outside regulations pertaining to the applicable program and/or administrative specialty.
      • Working knowledge of operational and fiscal analysis and techniques.
      • Working knowledge of budget policies and procedures.
      • Ability to take initiative and independently plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved.
      • Skill in the research, development and evaluation of policies and programs, including skill in the collection, evaluation, and interpretation of data to develop sound conclusions and make appropriate recommendations.
      • Expertise in investigating and analyzing problems with a broad administrative impact and implications.
      • Ability to make independent decisions and exercise sound judgment.
      • Ability to train others on new skills and procedures and provide lead work direction.
      • Thorough knowledge of and ability to apply extensive expertise to complex programs and/or administrative specialties, including pertinent laws and regulations.
      • Demonstrated expertise in and advanced knowledge of the principles, problems, and methods of public and business administration and operational and fiscal management.
      • Expertise in administrative survey techniques, operations and systems analysis, statistical and research methods, and the ability to interpret and evaluate results to develop sound conclusions and recommend new or revised policies.
      • Ability to understand problems from a broad, interactive perspective and discern applicable underlying principles to conceive of and develop strategic solutions.
      • Ability to work with representatives from public and private entities and handle potentially sensitive situations. Demonstrated consultative skills in working with internal and external constituent groups.
      • Ability to effectively present ideas and concepts in written or presentation format and use consultative and facilitation skills to gain consensus.
    • Salary Range
    • Anticipated salary will be $6,638 - $7,302 per month plus excellent paid benefits. Salary will depend on the qualifications of the successful finalist. (Full range: $6,638 - $12,899 per month)
