Department

The Guardian Scholars program within the Division of Student Affairs is housed within the Center for Scholars, at California State University Fullerton. They provide comprehensive services to foster youth students to support their personal, academic, and professional success. We seek an exceptional individual to join our team as the Guardian Scholars Administrative Support Coordinator (Administrative Support Coordinator I). The ideal candidate in this role should have a positive attitude and an active, energetic mind characterized by highly ethical practices and a commitment to inclusivity, openness, flexibility, integrity, and kindness.

Duties and Responsibilities

Under the general supervision and direction of the Center for Scholars (CFS) Director, the Administrative Support Coordinator is responsible for the coordination of the office functions, administrative support, and budget support for the Guardian Scholars Program and the CFS. Responsible for the day-to-day operations of the CFS and works independently to ensure the Center is ready to welcome students, staff, and community partners. The Administrative Support Coordinator works closely with Center for Scholars Director and CFS Analyst in preparing forms and monitoring expenditures for the department with strong attention to detail; plans and helps coordinate Guardian Scholars events that are student centered in collaboration with other CFS professional staff; maintains Guardian Scholars budget and processes expense claims, check requests, and purchase requisitions. The Administrative Support Coordinator reviews and evaluates fiscal planning for Guardian Scholar activities, programming, and events and offers recommendations as necessary; provides event support by reserving event venues and placing catering orders. Other duties as assigned.

Essential Qualifications

High School diploma or the equivalent and two years of experience in general office, clerical or administrative support work or the equivalent. Training at a vocational school or full-time college education may be substituted for the required experience on a year for year basis. Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures. Thorough knowledge of English grammar, punctuation, and spelling. Thorough knowledge of office systems with the ability to use a range of technology, systems, and software packages. Ability to independently handle multiple work unit priorities and projects. Ability to apply a variety of policies and procedures where specific guidelines may not exist. Working knowledge of budget policies and procedures. Ability to perform standard business math including calculating ratios and percentages, tracking financial data, and making simple projections. Ability to draft and compose correspondence and standard reports. Ability to handle effectively a broad range of interpersonal contacts including those at a higher level and those sensitive in nature.

A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to complete the background check satisfactorily may affect the continued employment of a current CSU employee who was conditionally offered the position.

Preferred Qualifications

Four years of related administration coordination experience. Working knowledge of operational and budget analysis and techniques. Knowledge of and skill in standard office procedures and practices. Ability to plan, organize, coordinate, and perform work in various situations where numerous demands are involved. Skill in the research, development, and evaluation of policies and programs, including skill in the collection, evaluation, and interpretation of data to develop sound conclusions and make appropriate recommendations. Expertise in investigating and analyzing problems with a broad administrative impact and implications. Ability to anticipate problems and address them proactively, demonstrated ability to effectively interpret, organize, and present information and ideas in written or presentation form. Ability to train others on new skills and procedures and provide lead work direction.

License/Certifications

A valid California driver’s license.
