Medical Support Assistant

Key Responsibilities:

  • Serve as a Medical Support Assistant in the VISN 1 / VA New England Healthcare System.
  • Provide administrative support to increase scheduling and communication integrity across services.
  • Collect and update insurance information from Veterans, family members, and other eligible patients.
  • Prepare correspondence and memos as needed.
  • Screen and receive phone calls courteously and timely.
  • Determine the nature of requests and provide information using privacy rules and established clinic processes.
  • Enter data accurately into VISTA.
  • Scan applicable documents into VISTA Imaging within 24 hours of data entry.
  • Promote Veteran registration for and use of My HealtheVet.
  • Stock basic office supplies for the clinical area.
  • Enter Veterans seeking emergent or urgent care and schedule appointments accurately.
  • Use call lists to contact Veterans before scheduled visits and pre-register them.
  • Update patient demographics.
  • Communicate with adult and geriatric patients in a manner appropriate to cognitive, emotional, and chronological needs.
  • Ensure appropriate VA forms are used correctly and applicable regulations are followed.
  • Perform additional duties or tasks assigned by the supervisor to support efficient daily operations.

Basic Qualifications:

  • Must be a U.S. Citizen.
  • Must be proficient in spoken and written English.
  • No prior experience is required for the basic Medical Support Assistant qualification standard.
  • Must have a high school diploma, GED, proficiency certificate, or equivalent qualifying education.
  • No certification is required.
  • Must be subject to a background/security investigation.
  • Selective Service registration is required for males born after December 31, 1959.

  • Must have one year of creditable experience equivalent to the next lower grade; or
  • Must have one year of education above high school.
  • Must demonstrate knowledge of basic medical terminology.
  • Must be able to record patient messages and understand physician requests related to follow-up medical care.
  • Must be able to meet, communicate, and interact courteously with patients, staff, and health care team members.
  • Must be able to use office automation equipment and software, including scheduling systems, insurance collection systems, scanning software, phone systems, and electronic faxing programs.

GS-5 Qualification Requirements:

  • Must have one year of creditable experience equivalent to the next lower grade; or
  • Must have two years of education above high school.
  • Must demonstrate advanced knowledge of medical terminology sufficient to understand medical diagnoses, procedures, and clinical staff instructions.
  • Must demonstrate customer service skills and the ability to identify and refer customer concerns appropriately.
  • Must be able to operate computerized systems to enter, modify, and retrieve sensitive medical and patient identifying information.
  • Must be able to schedule medical appointments in a clinical setting.
  • Must be able to work independently on a wide variety of patient support duties.
  • Must be able to communicate effectively and professionally in person, electronically, and by telephone with internal and external customers.
  • GS-5 is the full performance level for this vacancy.

Education:

  • High school diploma, GED, proficiency certificate, or equivalent qualifying education is required unless covered under the grandfathering provision.
  • Post-high school education may be used to substitute for experience at the GS-4 or GS-5 level.
