Job Description

This International Shipping Coordinator role is responsible for managing and executing all international export shipment activities on behalf of our shipping teams, located at our key manufacturing hubs. The International Shipping Coordinator will ensure compliance with global trade regulations while meeting customer delivery expectations. This role requires a strong understanding of Incoterms, FedEx and freight forwarding processes, and commercial invoice documentation to support efficient and compliant export operations.
  • Coordinate and process all export shipments on behalf of our shipping teams
  • Ensure compliance with all international trade regulations, export laws, and customs requirements
  • Prepare, review, and process export documentation including commercial invoices, packing lists, and shipping instructions
  • Verify accuracy of shipping documentation to prevent delays, penalties, or compliance issues
  • Collaborate with internal departments including contracts, customer service, and warehouse teams to ensure order accuracy and readiness
  • Knowledge of Incoterms to ensure correct cost and risk allocation between buyer and seller and understand who is the Exporter of Record (EOR)
  • Work closely with Freight Forwarders and parcel carriers to schedule shipments and resolve transportation issues
  • Follow specific Freight Forwarder Shipper's Letter of Instruction (SLI) per customer requirements
  • Conduct Denied Party Screening checks before each international shipment
  • Submit Electronic Export Information (EEIs) into the government's Automated Commercial Environment (ACE) portal.
  • Create parcel shipping labels via carrier shipping portals
  • Support audits and maintain records in accordance with export compliance requirements
Location/Schedule/Travel:
  • This will be considered a Hybrid role at either our Austin, Texas or Nashua, New Hampshire location. In office at least 3 days per week.
  • This position will work on a 9/80 schedule where you will have every other Friday off.
  • Standard Hours of Operation will be around 8AM - 5PM EST
  • This role will require up to 10% of travel.
While this could be considered for a remote position, our offices are located in Nashua New Hampshire and Austin Texas. The successful candidate should be open to occasional travel to either location as requested by key stakeholders.

Required Skills and Education
  • Typically a Bachelor's Degree and 4 years work experience or equivalent experience
  • Experience using Incoterms (2020), export compliance, and international shipping documentation
  • Strong Understanding of Electronic Export Information (EEIs) and submitting them into Automated Commercial Environment (ACE) portal.
  • Familiarity with commercial invoice processing and documentation requirements
  • Experience with processing domestic and international parcel and freight shipments
  • Experience in creating domestic and international FedEx labels
  • Experience working with freight forwarders and customs brokers
Preferred Skills and Education
  • Bachelor's degree in supply chain, Logistics, Business, or related field (or equivalent experience)
  • 5+ years of experience in export coordination and international logistics
  • Experience with export control regulations (EAR, ITAR)
    • Department of Commerce Shipments
    • Department of State Licensable Shipments
    • ITAR Licensable and ITAR License Exemptions
  • Knowledge of tariff classification (Schedule B) and country-specific import/export requirements
  • Knowledge and Experience managing Carnets
  • Knowledge in transporting items via Hand Carry
  • Experience with Oracle ERP systems
  • Experience with shipping Hazmat and general knowledge of Hazmat regulations
  • Experience in working with Transportation Management Systems and 3PLs
  • Experience in Department of Defense Contracts and utilizing Government shipping portals such as MIL-Comply and PIEE in order to ship DD250s and DD149s
  • Excellent organizational skills and attention to detail
  • Strong communication and problem-solving abilities
  • Ability to manage multiple shipments and priorities in a fast-paced environment
