    Role

    Under direct supervision, oversees day-to-day patient billing of Medicare, Medicaid, and commercial insurance claims for clinic services and acts as a backup for Medical Billing Supervisor.

    Major Duties, Responsibilities

    • Posts payer payments and ensures insurance payments are being posted in a timely manner; ensures all billing issues with payers and patients are resolved timely; research problems; monitors Accounts Receivable Aging Report and follows-up with payers regarding outstanding claims; responds to payer and patient account inquires and completes the necessary documentation.
    • Trains, problem-solves, and assists billing staff with questions and familiarizes them with the medical billing system.
    • Programs new providers and new CPT codes within the NextGen system. Works with the NextGen team within the clinic and with NextGen corporate with billing system problems.
    • Reviews complex medical records and accurately codes the primary/secondary diagnoses and procedures; correlates information supporting clinical documentation, including, but not limited to Pathology, Radiology, and/or other Physician consultations after review by the attending Physician; reviews reports before claims are created; ensures that billing information is done on a timely basis to meet month end processing, billing deadlines, and statement cycles.
    • Assists in training of other coders within the department; participates in the development of department coding policies and procedures as identified; coordinates/mentors the work of designated coding employees to ensure quality and quantity of work performed through regular audits.
    • Contributes to the efforts of expanding funding base and maximizing billings; analyzes specific organizational tasks and functional aspects and applies techniques for solutions.
    • Performs other job-related duties as assigned.


    Minimum Qualifications

    Education:
    High school diploma or equivalent.

    Experience:
    A minimum of four (4) years of healthcare billing experience.

    Additional Requirements:
    Must possess a valid Arizona driver’s license.
    Must possess a current fingerprint clearance card issued by the Arizona Department of Public Safety.

    Other Skills

    Required Knowledge, Skills, and Abilities:

    Knowledge of:
    • Medical clinic operations sufficient to train staff and answer questions.
    • Compliance and reimbursement rules to allow the better handling of issues such as medical necessity, claims denials, bundling issues, and charge capture.
    • Medical terminology and physiology to interpret and analyze coding decisions, to understand provider notes and to be able to discuss with providers at an appropriately high level of expertise.
    • Healthcare payment system including Medicare, AHCCCS, managed care, and fees for services.
    • Medical clinic operations including, but not limited to, front office procedures, CPT and ICD 10 coding, data entry, and billing.
    • Processing accounts receivable, bank deposits, billing, and patient statements.
    • Medical practice management software and electronic billing processes.
    • Business English, spelling, grammar, punctuation, and composition.
    • Clerical office practices and procedures.
    • Research techniques and report writing.
    • Current Microsoft Office software.
    • Filing and recordkeeping.

    • Identifying potential opportunities to improve services, suggest solutions and new innovations, and participate in their implementation.
    • Communicating effectively verbally and in writing and communicating orally in a face-to-face setting and by telephone with public and employees.
    • Establishing and maintaining effective working relationships with employees, other agencies, and the public.
    • Organization and adherence to detail.

    Ability to:
    • Use knowledge to ensure all claims processed at the correct coding to the correct payer in the correct programs to ensure the county does not lose funds for improperly filed claims.
    • Ensure that the maximum amount of funds is received by the County through stewardship functions related to accounts receivables, through use of financial knowledge including processing accounts receivable, bank deposits, billing, and patient statements.
    • Monitor the effectiveness of the Practice Management System as it relates to billing functions to ensure its accuracy and efficiency using accumulated system knowledge and ability to interface with CHCY IT staff and Yavapai County ITS Department.
    • Demonstrate professional judgment and tack in responding to payer and patient account inquiries and then complete the necessary documentation in order to keep patients as customers of the clinic.
    • Code health record reports from signed by the provider.
    • Travel to other Yavapai County clinic location as needed.
    • Keep management informed of key operating issues affecting the department.
    • Remain current in knowledge required to perform assigned duties.
    • Handle confidential matters and maintain discretion always.
    • Act with courtesy, tact, and diplomacy.
    Work Environment:
    The work environment is associated with an office. The work area is adequately lighted, heated or cooled and ventilated.

    Physical Requirements:
    Ability to sit or stand for extended periods of time. Sufficient vision to read printed materials and a computer screen; hearing and speech ability to communicate effective in-person and telephonically. Capable of frequent repetitive movement of arms, fingers, and wrists. Ability to lift up to 30 pounds.
