DESCRIPTION OF DUTIES/ ESSENTIAL FUNCTIONS The General Services Department (GSD) is seeking an Administrative Specialist who will be responsible for administrative support for all Security Management functions including investigations, customer service and the security technical repair team. This position will also complete the following duties:
- Draft, review, and manage professional correspondence with internal and external vendors regarding proposals, security services, security infrastructure and operational needs.
- Support audits, inspections, and special projects by organizing documentation, compiling data, and coordinating information requests.
- Administer and maintain ServiceNow work order system, coordinating service requests, monitoring workflow status, and serving as a liaison between technicians, management, and vendors.
- Coordinate solicitations, receipt, and review of contractor proposals for physical security services, access control, surveillance, and related projects.
WORKING CONDITIONSThe position is physically comfortable; the individual has discretion about walking, standing, etc. There are no major sources of discomfort, i.e., essentially normal office environment with acceptable lighting, temperature and air conditions.
MINIMUM REQUIREMENTSEDUCATIONAL REQUIREMENTSRequires a Bachelor's degree in Business Administration, Liberal Arts, or a related field.
EXPERIENCE REQUIREMENTSThree years of administrative experience are required.
Professional administrative experience may be substituted for the above education requirement on a year-for-year basis.

PREFERENCESPREFERENCESPreference is given to applicants with experience in SAP software with creating requisitions and receivers, monitoring and verifying vendor invoices. Current and proficient knowledge of MS Office (Excel, PowerPoint and Word) is preferred along with experience working with people of diverse backgrounds, ability to communicate effectively orally and in writing, and have strong interpersonal and collaboration skills. Great organizational skills and high attention to detail is also preferred.
