Job Summary The Administrative Analyst serves as the primary resource for information regarding College and Department policy and practice for faculty, students, and staff. They ensure consistency in policy and procedures, while also maintaining project budgets and maintaining records. Communication - Providing comprehensive administrative support to the Dean and Appropriate Administrative Manager, while also serving as the primary liaison for communication duties within the college. Arranging Events and Activities - Review all incoming correspondence for prioritizing. Departmental record-keeping, records processing, reports, and written material preparation - Log all meetings electronically allowing viewing by the Deans, and College Office staff. Supervision - Coordinate staff duties to meet needs of all 31 departments and programs in the College of Liberal Arts, undergraduate and graduate programs, heavy telephone responsibilities, inventory, and supplies. Knowledge Skills and Abilities Advanced problem-solving and organizational skills are required in the administration of the varied tasks performed in this position. Supervisory and interpersonal skills are required for the daily delegation and supervision of assignments performed by the Department Office staff. Knowledge of budget and fiscal resources, allocations, and accountability. Provide professional representation for the department to all constituencies. Develop and deliver essential information through written and oral interactions. Establish and maintain collaborative working relationships with a variety of ethnically and culturally diverse program faculty, academic departments, the dean’s office, and a variety of offices and individuals on and off campus. Duties and Responsibilities (other duties as assigned): Update Collection files, status of Collection, accessions, deaccessions, acquisitions, and gifts. Maintain an active inventory list and provide care for the objects in the University Foundation Art Collection Inventory. Establish provenance and organize correct documentation for all works in the Collection. Researching past practices and remaining current with present and future practices. Photographing all current objects in the Collection, as well as all incoming donations and assigning permanent storage locations. Enter information of all incoming donations into the collections database. Maintain Collection database in digital form, web, and hard copy. Generating and maintaining all documentation including incoming/outgoing intercampus and off-campus loan and gift agreements, receipts, and condition reports. Deliver and install works on load/de-install and return works to collections. Assess conditions of an office environment for loaning works to ensure safety and maintenance of works. Generate labels for works on loan. Shipping, receiving, packing and unpacking of works of art. Generate condition reports for incoming and outgoing works loaned to the Gallery. Directing correspondence, reconciling receipts, ordering shipment and supplies as needed. Organizing exhibitions of the Foundation Collection as needed. Serving as liaison between the University Foundation Art Collection and the campus community. Ability to research grant opportunities and assist in preparing grant proposal. Serve as College Liaison with grant offices. Other duties as assigned. Knowledge, Specialized Skills, and Abilities: Familiarity with Registrar procedures, methods, care, and maintenance of artworks, paintings, works on paper, sculptures, mixed media works, printings, and organic materials. Ability to recommend repairs, storage facilities and improvements to Collection. Background in Art History and Contemporary Art and practices. Ability to coordinate with web designer to update work on web page. FileMarker Pro, Microsoft Word, Excel, Adobe Photoshop/Illustrator/InDesign, Scanner/Camera software.
