Job Description:Duties, Functions and Responsibilities:Essential duties and functions, pursuant to the Americans with Disabilities Act, may include the following. Other related duties may be assigned.
- Provides high-level administrative support for the Mayor’s Office.
- Communicates effectively and professionally with residents, staff, and other employees in person, writing, and by telephone; serving as point of contact in providing assistance to citizens.
- Manages calendars, schedules appointments and plans travel itineraries.
- Coordinates agenda items with members of the City Manager’s staff.
- Organizes and maintains files related to office correspondence, reports and other pertinent data.
- Coordinates the logistics of speaking engagements, conference calls and various types of forums for the Mayor.
- Coordinates activities/projects with other City staff; monitors projects.
- Prepares, edits, & summarizes reports, memos, letters and other documents such as notices or agenda for meetings.
- Researches and analyzes data & information used in decision making.
- Acts as liaison between City executives, City departments, and relevant stakeholders.
- Facilitates the handling of time sensitive requests such as Public Information Requests (PIRs) and Citizen Action Forms (CAFs) and other confidential documents.

Minimum Qualifications:- Graduation with a Bachelor’s degree from an accredited college or university with major coursework in Business Administration, Public Administration or in a field related to the job, plus three (3) years of experience in an administrative or executive secretary capacity.
- Experience may substitute for education up to the maximum of four (4) years.
Preferred Qualifications:- Experience working with constituents, department leaders, executives, and city management officials
- Experience multi-tasking in a fast-paced and deadline driven environment
- Experience maintaining calendars, coordinating staff events and meetings
- Proficiency with Microsoft Office Suite, specifically with Word, Excel, Outlook, Teams and SharePoint
Notes to Candidate:The Special Assistant to the Mayor will be responsible for the following:- Office Management: Oversee daily office operations, including answering phones, greeting visitors, and managing incoming and outgoing correspondence.
- Scheduling: Coordinate and maintain the Mayor’s calendar, schedule meetings, and arrange travel and related logistics.
- Documentation: Prepare, proofread, and edit reports, presentations, and other official documents to ensure accuracy and professionalism.
- Filing and Record Keeping: Maintain organized filing systems, manage records, and ensure timely and easy access to information.
- Communication: Serve as a primary point of contact for internal and external communications, providing accurate information and appropriately directing inquiries.
- Administrative Support: Manage office supplies, monitor inventory, and recommend or implement process improvements to enhance office efficiency.
