PURPOSE: Under the general supervision of the Director of Admissions and Recruitment, the Transfer Admissions Advisor is responsible for supporting annual enrollment targets for Lower Division Transfer (LDT) students. The Transfer Admissions Advisor recommends educational goals and admissions requirements to potential students, while also guiding applicants through the enrollment process in order to support CSUMB enrollment goals. The Transfer Admissions Advisor supports WUE application process and residency evaluations, and is also responsible for providing support to FTFY admission reviews and admissions verify processes, as well data reconciliation and assigned program audits.
ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following: Serve as admissions evaluator for all lower-division transfer students and provide support throughout the enrollment process. Obtain all required information to determine eligibility using electronically submitted application data and transcript information. Assess and interpret self-reported applicant information and academic records for determination of eligibility for admission. Evaluate applications according to all applicable polices for CSU Eligibility and make final admissions decisions, including calculation of total college units, calculation of overall GPA and Required GE Courses. Evaluate individual college transcripts for completion of transferrable units, required GE Courses and GPA. Evaluates high school transcripts as they are received for lower division transfer applicants which includes verification of comprehensive CSU A-G requirements. Utilizes online tools and resources provided by the CSU, UC, and high schools to make appropriate determinations. Uses independent judgment in evaluating subject requirements completed when there is no high school course list on file. Updates CMS/PeopleSoft with appropriate changes as dictated by evaluation and procedures. Plans, organizes and interprets transfer credits as they apply to university curricula, which includes explaining and interpreting for students and preparing department evaluation summaries. Provides resolution with transfer credit posting into the Student Information System, transfer evaluations, transfer credit entry, transfer credit rules, EDI and manual transfer credit entry. Makes decisions on evaluations that are more complex. Responsible for reading, interpreting, and applying state legislation as it applies to California residency. Responsible for requesting and reviewing required documentation and then making determinations on residency status for all incoming students requiring or requesting such evaluation. Manages all residency check-list items and holds. Communicates residency needs as well as residency determinations with students. Evaluates and prepares residency appeals for the Director of Admissions and Recruitment. Assist and facilitate residency training for the Office of Admissions as needed. Advise prospective applicants regarding application processing and eligibility requirements. Communicate admission requirements to educational counselors as needed. Counsel denied applicants regarding options and alternatives. Identify potential candidates who would benefit by participation in special admission programs. Following general CSU and campus policies for the assignment of transfer credit, determine and advise on requirements outside of the major that transfer courses fulfill. Provides support to first time, first year (FTFY) student manual application reviews, independently making admissions eligibility determinations. Support admissions verify process by reviewing enrolled student files to verify admissions eligibility. Assists with data reconciliation and clean-up, including Enrollment Reporting Student (ERSA and ERSS) reports. Responsible for completing AB540, social security, and WUE audits. Manages the WUE program, processing applications and updating Peoplesoft. Responsible for all communications with regards to WUE applicants and students. Serves on University committees, task force teams, and planning groups; and participates in on-campus events, including new student orientation, open house, admitted days. Special Projects but not limited to: gathering data, researching information, creating timelines, and presentations.
Other Functions: Assists in coordinating programs with other campus departments. Perform other job-related duties and special projects as assigned.
KNOWLEDGE, SKILLS AND ABILITIES: Thorough knowledge of the format and interpretation of course records and transcripts of institutions of higher education; knowledge of authenticating course credits and comparing records of differing formats, such as foreign records; knowledge of campus curriculum requirements for majors, minors, terminal degrees, and special program designations, and knowledge of application of campus resources guidelines for making determinations using various criteria. Thorough knowledge of resources and documentation processes and knowledge of organizing and assigning the work of the group.
Ability to be thorough, consistent and accurate in the interpretation of records against criteria; ability to comprehend and interpret complex regulations or requirements and to apply them in the evaluation process; ability to maintain resources which document and update criteria; ability to explain criteria and evaluations to others; ability to make accurate records; ability to organize work to meet deadlines; ability to safeguard the confidentiality and security of records. Ability to interpret and apply criteria related unusual cases; ability to organize and manage workloads; ability to explain and interpret the application of complex regulations, requirements and criteria to individual students and faculty members; ability to safeguard the confidentiality and security of student records; ability to be responsible for all aspects of a functional assignment; ability to instruct and lead the work of others in making evaluations.
MINIMUM QUALIFICATIONS:Equivalent to two years of academic records evaluation experience with the full scope of responsibility for making decisions regarding eligibility for the granting of degrees. Completion of a formal training program in academic records evaluation may be substituted for one year of the required experience.
SPECIALIZED SKILLS:
Must have excellent writing and oral communication skills. Must also have the knowledge and the ability to maintain academic records. Ability to clearly express ideas and recommendations orally; write clear and concise reports; work effectively and interdependently in a diverse university environment; establish work priorities and meet deadlines; collect, compile, analyze and evaluate data and make verbal or written presentations; apply complex rules and regulations to daily work; analyze academic qualifications and review transcripts for validity and transferable credit; advise prospective students on courses and procedures necessary to complete admissions requirements and process; perform arithmetic calculations; ensure accuracy and assume responsibility with a minimum of supervision; work with computers in an on-line student record environment and with word processing software.
PREFERRED QUALIFICATIONS/DESIRABLE EXPERIENCE:Technical fluency with Oracle/PeopleSoft, CSU Common Management System or equivalent student information system; Microsoft Office Professional; Google Workspace (Gmail, Docs, Sheets, Drive, Calendar, Forms, etc.); 25Live; intranet drives; and internet browsers.
