The Role:The Office Manager is responsible for managing, organizing, and coordinating administrative procedures and special projects to improve organizational effectiveness and efficiency. This position oversees and streamlines administrative processes, Including, but not limited to receptionist activities, inbound call center operations, administrative budgeting, and general office management. Additionally, the Office Manager will track, monitor and ensure successful completion of select projects as assigned by management.
What You’ll Accomplish: Keep in mind that this list is not all-inclusive.
- Lead An Exceptional Team: Lead a group of Ambassadors in front office roles ensuring exceptional service to internal and external customers of the LVCVA. Develop staff within their core functions, including proper greeting and assistance to guests and response techniques when providing up-to-date information, answering questions, responding to emails, etc. Resolve complex issues when escalated. Conduct regular performance reviews and provide timely feedback. Hire and onboard new staff when necessary.
- Manage Special Projects : Manage successful completion of projects related to the maintenance and functionality of administrative office spaces. Review, analyze, track and communicate project progress. Create detailed reports of various data sets for management as needed. Keep abreast of current office trends and systems and make recommendations for improvement to your department leader.
- Manage Front Office Operations: Ensure workflows and processes are well organized and efficient. Develop and implement new processes as needed to maximize productivity and service levels.
- Perform Administrative Functions: Manage the scheduling of shared meeting spaces, i.e., offices, conference rooms, publicly shared spaces, etc., for efficient use of space. Prepare presentations and correspondences for department leaders when needed. Oversee the inventory and procurement of office supplies and equipment.
What We’re Looking For:- High school diploma required, advanced degree or certification desired
- Demonstrated leadership experience in an office setting
- Demonstrated success managing projects and handling diverse administrative tasks simultaneously
- Knowledge of office management responsibilities, systems, and procedures
- Strong organizational and planning skills and demonstrated ability to support an office with diverse needs
- Demonstrates a strong commitment to valuing differences among individuals and being inclusive
- Capable of working independently with minimal supervision
- Excellent multitasking and prioritization skills with flexibility and a strong attention to detail
- Strong analytical and problem-solving abilities
- Possess excellent written and verbal communication skills
- Strong interpersonal skills to be able to work effectively with vendors, management, and other Ambassadors
- Skilled in using office equipment, computers, and Microsoft Office Suite with strength in PowerPoint, Outlook, and Word
