Job Description

The Office of Workforce and Community Initiatives (OWCI) is seeking candidates to fill a Lead Administrative Support Assistant position. This position will be based in Cole County located at 3705 Missouri Blvd., Jefferson City, MO.

This position is not eligible for remote work.

This is senior-level administrative work involving a high degree of independent judgment, decisions and action. Duties include, but are not limited to:

  • Serve as an office manager directing a variety of support functions or services; plan, assign, direct, and coordinate the activities of a large office staff directly or through supervisors.
  • Provide complex administrative assistance for an agency official, represents the supervisor at staff or other meetings, recognize manager’s and staff priorities, and schedule meetings and coordinate logistical arrangements for program, agency, or inter-agency efforts.
  • Complete travel arrangements, manage calendars, coordinate resources and complete expense reports, track and monitor purchases and balance office purchasing card.
  • Place orders, process invoices, and coding requests, organizing documents, renewing agreements, and auditing inventories for the Office of Workforce & Community Initiatives.
  • Respond to inquiries from state officials, customers, vendors, and the public regarding agency matters; investigate and assign to appropriate program staff for review.
  • Exercise independence in decision-making based upon knowledge of agency operations, policies, and procedures; other related work as assigned.
  • Follow standing procedures to prepare, review, and disseminate clear and accurate memorandums regarding specific changes at the Knipp Building, among other office-wide matters and other topics as assigned;
  • Helping staff with the scheduling and resource creation and coordination for meetings, video-conferences, trainings, and other events;
  • Pursuing a comprehensive knowledge and ability to serve as a resource regarding critical administrative and program-based systems and software relevant to the agency.
  • Assist program staff with referrals and other policy related duties occasionally.
  • Developing the awareness of divisional operations, policies, and procedures necessary to be independently mindful of DSS’s general and program-specific interests and priorities.


One or more years of clerical support experience as an Administrative Support Assistant with the Missouri Uniform Classification and Pay System; and possession of a high school diploma or GED certificate. OR

Four or more years of office or related clerical experience including one year at the advanced clerical level (comparable to Administrative Support Assistant) or two years above the entry level (comparable to Administrative Office Clerk); and possession of a high school diploma or GED certificate.
