HIGGINSVILLE HABILITATION CENTER ESSENTIAL JOB FUNCTIONS ADMINISTRATIVE SUPPORT CLERK Understands and follows verbal and written instructions. Performs clerical duties, typing, computer/word processing, etc., as well as other office machines in an accurate, timely manner. Must be clean and neat in appearance, pleasant and tactful in carrying out the job functions of the office. Ensure all personnel, employee or consumer subject information is maintained in a highly confidential manner. Work independently in the performance of job tasks, i.e., scheduling staff meetings, doctor statement review, scheduling medical visits/reviews, obtaining completed paperwork and other related duties, maintaining confidentiality. Interpret policies and rules, use of forms, i.e., Employee Time & Attendance Balances, Sick Leave, Family Medical Leave, Workers Compensation processing, expense accounts, travel, IPs, BSPs, consumer documents and correspondence protocol. Implements required forms in a timely manner, maintains complex clerical records and prepares reports from varied statistical information. Ensure dissemination of the Performance Appraisals for all employees who are already employed and new employees, meeting required timelines. Identifies documents and maintains accurate, complex, and up-to-date files, making additions and deletions as necessary. Sorts documents numerically and alphabetically. Able to spend several hours per day seated at a work area performing continuous secretarial duties, i.e., data entry, typing. Able to stand and file documents (bending/reaching into file cabinets) for extended periods of time. Lifts records and transports records and files. Read and comprehend confidentiality regulations and identifies staff who are authorized to review records. Courteously perform the receptionist skills of telephone calls, visitors, answers questions and refers callers/visitors to appropriate areas/staff, and schedules appointments as necessary. Makes decisions in accordance with facility policies and/or HHC procedures. Coordinates copying, filing, and mail delivery of all area mail as assigned. Establish and maintain effective working relationships with staff members to include co-workers, community businesses/organizations, and other state agencies. Represents Higginsville Habilitation Center at various inservices, workshops, Orientation, and special meetings regarding facility policies and procedures within the area of the job responsibilities. Attends off-campus workshops, meetings and inservices (may include travel or overnight stays). Capable of acquiring group presentation skills, composing routine correspondence, and cross training with other staff. Must have a valid driver's license and as necessary, drive during day and/or night time hours both in town and on highway. Be able to obtain a Notary license. Flex work hours/schedule and work overtime as requested by supervisor. Abides by HHC/DMH policies and procedures. Attend work according to HHC policy. Lift up to 25 pounds. Prepare reports and keep records in a legible manner. Adhere to Title XIX applicable standards and policies. Negotiate stairs and access any area needed. Possess adequate vision to read written material, must not be legally blind. Possess adequate hearing unaided or with the aid of an amplification device (hearing aid).
