Submits online Staples orders for office supplies, equipment, hardware, and software on a regular and as-needed basis. Train and provide lead work direction graduate and student assistants. Assign and monitor progress on projects given to student assistants. Provides administrative support to the Honors Director, Assistant Director, and SSP. Informs appropriate supervisors when a staff member is absent. Schedules staff and committee meetings. Obtains and distributes staff paychecks. Prepares, submits, and tracks department duplicating requests to Printing Services. Creates and updates front desk operations manual. Creates office procedures. Prepares and submits Event Management System (EMS) use requests for on-campus meetings or events. Coordinate study rooms for the program, including maintaining and monitoring the reservation check-out processes for equipment and schedule use of the student computer stations. Program Recruitment & Admissions Coordinate and facilitate outreach and recruitment activities for both the University Honors Program and Presidential Academic Excellence Program. Collaborate with the Office of Admissions and Student Recruitment on distribution of application invitations and recruitment messaging. Distribute applications to the review committee. Organize and coordinate recruitment events both on-site and virtually. Interface with HTCC on recruitment of transfer students. Support student staff in responding to inquiries regarding admission and application processes. Support all recruitment and admissions efforts for the Palm Desert Campus. Assist the Director with recruitment by drafting communications between the program and (potential) students. Coordinate activities associated with matriculation of new students. Assist in the development and implementation activities to support new transfer students. Maintains, monitors, tracks, and prepares recruitment supplies for Honors outreach presentations. Participate in recruitment events sponsored by the Office of Admissions and Student Recruitment. Programming Support the SSP with the organization and promotion of programs, workshops, and information sessions for students in the UHP, including but not limited to, programs focused on the UHP’s sub-populations, such as the Residential Honors Scholars, PAES students, and pre-Nursing and Nursing majors. Procure supplies and materials for programs sponsored by the UHP. Support the UHP Student Board in reserving event spaces and procuring supplies and materials. Send program- and campus-wide announcements and invitations for UHP-sponsored events. Participate in the intellectual community of the University Honors Program, including attendance at symposia, and Honors Program events as a full member of the University Honors community. Schedule educational field trips, schedule transportation, collect waivers of liability and deposits from students, and coordinate chaperone(s) for student travel to honors conference and excursions. Coordinate with Recreation & Wellness to sponsor adventure trips operated by R & W. Scheduling Build Honors courses and troubleshoot any scheduling and EMS related issues. Assist the University Honors Program (UHP) Faculty Director with recruitment of faculty to teach Honors courses, including hiring and keeping all faculty recruitment materials, as well as issuing faculty contracts. Assist students with course scheduling issues, holds, and course permits. Budget Management Monitors and maintains department contracts (i.e. Copy machine, telephones) in collaboration with the Administrative Analyst/Specialist (AAS) to maintain accurate budget records. Processes, obtains approval, submits, and monitors monthly payroll for all staff members in the department. Monitors the operating budget for the Honors Program and provide regular reports of expenditures and expense projections as requested by the Director and Academic Affairs. Public Contact Provides lead work direction to student assistants on initial student inquiries and/or directs the students to appropriate individuals or other campus offices. Sends information to individuals inquiring about the Honors program. Answers routine questions from university personnel and the general public regarding the Honors Programs and Activities. Miscellaneous Duties Operates all office machines and equipment as required. Provides lead work direction to student assistants in maintaining supply storage. Performs other classification-related duties as assigned. Minimum Qualifications: Required Education and Experience High School diploma or its equivalent AND five years of progressively responsible experience in general office clerical or secretarial work or the equivalent. Required Qualifications Comprehensive and detailed knowledge of the university infrastructure, policies, and procedures. Thorough mastery of English grammar, punctuation, and spelling. Expertise in using office software packages, technology, and systems. Ability to interpret and apply policies and procedures independently and use judgment and discretion to act when precedents do not exist. Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area. Compensation and Benefits: Anticipated Hiring Range: $3,865 - $4,500 per month Classification Salary Range: $3,865 - $6,336 per month The salary offered will take into account internal equity and experience among other factors.
