Health Equity Institute (HEI), in the College of Health & Social Sciences (CHSS)

Appointment Type

This is a one-year temporary position. May be eligible for renewal, based on budget, performance, and/or business needs.

Time Base

Part-Time (FTE 0.5)

Work Schedule

Monday through Friday; from 10am to 2pm (estimated 20 hours per week)

Scheduled work hours can be flexible, if needed.

Anticipated Hiring Range

$2,334 per month @ a time base of FTE (0.5)

$28,008 annually @ a time base of FTE (0.5)

Salary is commensurate with experience.

Position Summary

Under the general supervision of the Director for the Health Equity Institute (HEI), the Administrative Support Coordinator performs, coordinates, and oversees HEI's operational functions, including: financial, supporting human resources, facilities management (i.e., space), HEI-sponsored events, and day-to-day operations of the institute (e.g., advising the HEI Director and core faculty on personnel issues).

Position Information

Budget and Administration
  • Administratively, navigate the sources of institutional policies and procedures for designated research units at SF State University, including those concerning grant application development, management policies, and fiscal affairs policies.
  • Lead the preparation of the annual budget, annual reports, and other reports for HEI. This requires the Coordinator take on a range of ongoing tasks, including: reviewing and compiling budget data; making revenue projections; monitoring and tracking expenditures; and ensuring the unit remains within approved budget allocations.
  • Responsible for the general oversight of all financial transactions for HEI on a daily basis.
  • Work with the HEI Director and core faculty in the hiring and management of institution and project-specific staff and students.
  • Review and approve a variety of administrative support duties such as negotiating pricing agreements concerning: vendors for equipment and equipment maintenance, office supplies, printing services and event planning under established guidelines. Additionally, the Associate Director of Administration oversees the management of bills and invoices for payment; the processing of work orders and other specialized documents related to the work of HEI.
  • Support designated staff and students doing HEI's communications, which includes those relating to HEI's website and social media.
  • Responsible for managing the day-to-day functions of HEI.

Minimum Qualifications
  • Working knowledge of and ability to apply standard theories, principles, practices, and techniques applicable to the program and/or administrative specialty to develop conclusions and make recommendations.
  • Thorough knowledge of policies, procedures, and outside regulations pertaining to the applicable program and/or administrative specialty.
  • Working knowledge of operational and fiscal analysis and techniques.
  • Ability to take initiative and independently plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved.
  • Skill in the research, development and evaluation of policies and programs, including skill in the collection, evaluation, and interpretation of data to develop sound conclusions and make appropriate recommendations.
  • Expertise in investigating and analyzing problems with a broad administrative impact and implications. Ability to anticipate problems and address them proactively.
  • Demonstrated ability to effectively interpret, organize, and present information and ideas in written or presentation form.
  • Ability to train others on new skills and procedures and provide lead work direction.

Preferred Qualifications
  • Master's degree.
  • Administrative work experience in research organization or externally-funded projects.
  • Knowledge of government grants and contracts management and knowledge, and experience in organization effectiveness and operations management implementing best practices
  • Demonstrated leadership ability, excellent interpersonal communication skills, and relationship building skills necessary for working proactively across university units and departments
  • Ability to prepare, justify, manage and monitor numerous budgets
  • Must possess excellent administrative and supervisory skills
  • Ability to use good judgment and discretion as it relates to policies and practices of the university
  • Demonstrated knowledge of university policies and procedures including research and community-practice projects funded by federal agencies (e.g., NIH, NSF) and private foundations
  • Knowledge of government grants and contracts management and knowledge, and experience in organization effectiveness and operations management implementing best practices
