Summary

Under general direction of the Library and Observatory Director, coordinates and administers programs and activities of the Library and Observatory; researches, analyzes and compiles data for special projects; prepares written reports and presentations.

Job Description

EXAMPLES OF ESSENTIAL DUTIES

This class specification represents only the core areas of responsibilities; specific position assignment will vary depending on the needs of the department.

Provide specialized administrative support including: preparing meeting agendas, minutes, and staff reports; drafting proclamations, certificates of appreciation and letters of support; reviewing and processing purchase orders, payment authorizations, timekeeping records and invoices; reviewing and routing incoming correspondence; preparing correspondence, reports, notices, and other documents related to assigned area.

Research, analyze and compile data for special projects; provide staff assistance in the implementation of project recommendations.

Assist with the development, implementation and evaluation of new/revised policies and procedures; ensure compliance with existing policies, procedures and practices.

Research and respond to inquiries and complaints; provide colleagues and customers with information regarding programs, services, policies and procedures. Obtain and assemble information, materials and public records using independent judgment and initiative. 

Organize and schedule meetings and events; coordinate meeting and event logistics; coordinate and maintain calendars; identify, assemble and distribute meeting documents. 

Organize records and documents according to retention procedures; create and maintain files, records and databases; assist in preparation of the retention schedule update; research and gather documents in response to requests for public records; process recorded documents; file municipal code supplements.

Compose and schedule various legal notices for publication.

Assist with all aspects of conducting Library and Observatory, Cultural Commission and Rancho Mirage Writers Festival meetings.

Monitor supply inventory and equipment maintenance needs for assigned area; research need and prepare, or initiate requisitions to replenish stock or maintain equipment.

Issue invoices for rental of Library and Observatory facilities.

Provide administrative support to Library staff as needed.

Serve as support to the Library Clerks when needed.

Perform other duties of similar nature and level as assigned to address organizational needs and changing organization practices.

Job Requirements

Any combination of education and/or experience that would provide the required knowledge, skills and abilities necessary for acceptable job performance as determined by the City.  Example combination includes, but not limited to graduation from an accredited college with a bachelor’s degree in public administrations, business administration, or a work-related field.

 Licensing/Certifications

 Possession of an appropriate, valid California driver's license and a satisfactory driving record.
